What is CampDoc?

Reston Camps uses an online program called CampDoc to collect all necessary forms and paperwork. You will receive an email link to CampDoc upon registration. Please make sure your WebTrac contact information is up to date. This includes phone number and address, or you will not receive the email from CampDoc.

When and where can I buy a camp shirt?

Shirts can be purchased after May 1 in Member Services at 12001 Sunrise Valley Drive, Reston, VA 20191.

When is the balance of the session fee due?

Payment for each camp session is due two weeks prior to the start of that session. Campers will not be allowed to at­tend a session, and parents will be called to pick up their child, until full payment is made. Special circumstances must be approved through the Camp Registrar.

How is the staff selected?

As a provider of children’s programs, RA screens and trains all staff. The summer camp staff is comprised primarily of college students, high school seniors, recent high school graduates, schoolteachers, and our professional RA full time staff. All camp staff must undergo criminal background and fingerprint checks, as well as be CPR/AED/first aid certified. Our camp staff are innovative and creative individuals who love working with children and have attended extensive training to prepare them for the summer camp season.

Do campers need to have a physical?

Yes, you must submit either a school physical or a physician’s physical for all campers. Campers ages 8 and under must have a current one dated within 1 year prior to attending the first date of camp. Any physical performed by a doctor will do for children ages 6 and up.

Can a camper pick more than one friend to be grouped together?

Please know that regardless of your camper’s placement, all campers have the opportunity to interact with campers in other groups and to make valuable friends. Our staff is trained to help everyone feel that they are an important part of their groups and the camp.

Special placement requests are available until June 1. After that, we cannot guarantee special requests, as camp staff are already working on placing groups. To ensure that this is a mutually desired placement, both your camper, as well as their friend/relative, must fill out the special placement form. If we do not have forms from both parties, the request cannot be honored. Special Placement Request Forms are available in CampDoc. Reston Camps will do its best to honor your place­ment requests. However, we cannot guarantee special placements.

If the camper has a birthday during the session, can s/he still attend the younger aged program?

Yes, the age requirement is effective the first day of the camp session. However, the camper will not be able to attend the program during later sessions that summer.

Do all the campers need to wear camp shirts?

Junior Day Camp, Sportsters, Day Camp, and Adventure Camp participants must wear a yellow camp shirt everyday.

Counselor In Training participants must wear the CIT Camp shirt every day as well.

How much do the camp shirts cost?

This year’s camp shirts cost $20.00 for child sizes, $22.00 for adult sizes.

Are there scholarships available to the camps?

Yes, there are scholarships available for many of our camps. They are on a first come first serve basis. Those needing financial assistance must complete this application. along with a complete registration packet and any government agency documentation. Applicants will receive a phone call starting the first of April and will continue to reach out to all applicants until all slots are filled. What are the policies on refunds/cancellations/transfers?

All cancellations must be in writing to the Camp Registrar at camp@reston.org. Deposits are Non-Refundable.

  • Cancellations requested more than 14 days before the start of a camp session = a 50% refund (minus deposit)

  • Cancellations requested less than 14 days prior to the start of a camp session = no refund

  • No refunds for missed days within a camp session(s).

  • No refunds for campers sent home early due to illness, injury and/or behavior issues.

  • If you were enrolled in camp, did not cancel the enrollment, and did not participate in the program, no refund will be provided. You will not be eligible to enroll in future RA programming until the balance is paid in full.

  • Campers who cancel or leave camp on the advice of medical personnel will receive a prorated refund with a physician’s note.

  • There is a $35 fee per returned check or rejected electronic debit, plus the amount of the bank charge, if any.

*In the event your plans change, and you need to transfer to a different camp, the Camp Registrar will work closely with you to enroll your child in another open, age-appropriate camp.

Can a camper enroll for one week of a two-week session (or the last week of one session and the first week of the next session)?

No, you would have to enroll and pay for both sessions. We do offer one-week camps in some of our camp options. Two week camps include Junior Day Camp, Day Camp, and Counselor in Training.

If a camper is beyond the maximum age limit for a camp can s/he still enroll in that camp?

No. We plan for a one-year overlap in our camp ages so that children can have a year of transition and choice between attending the program for younger or older children. In special needs situations, the Camp Registrar can make an exception based on the developmental level of the child.
